The District Conference at Potters Leisure is rapidly approaching; we felt it would be a good idea to forward information to you to help with the smooth running and enjoyment of your stay. By Car : Located just off the A47 , midway between Gt. Yarmouth and Lowestoft, follow signs for Hopton-on-Sea or use Postcode NR31 9BX for your Sat Nav. Follow the signs to Potters Holiday Village. There is plenty of parking on resort. For those staying at Potters there are four temporary 20 minute parking places directly inside the entrance gate in front of the main building, or there is a car park, on the other side of the road outside Potters you can use whilst booking in. Once you have checked in you will be allocated a car park close to your accommodation. For Day Attendees follow the parking instructions of the Rotary Stewards who will be at the main entrance gate.
The Conference Times : The Conference is on Saturday, 14th October 2017. Registration is from 8:30am with a prompt start time for the Conference at 9:30am. It finishes at 4:15pm.
Day Delegates to Conference : Once you have parked go into the main entrance to Potters.
Rotary Stewards will direct you to the Atlas Theatre where the Conference is being held.
You can register at a table outside the Atlas Theatre and will be given a Conference Pack.
Tea and Coffee will be served in the Atlas Theatre from 8:30am to 9:15am.
There will be a Coffee / Tea break at 11am. Lunch for Day Delegates will be in the Garden Restaurant when the Conference breaks for lunch. There will be a 3 course Carvery Lunch
( Salad Bar also available). There is also a choice of lighter options from self-service, or waiter / waitress service, from the main menu. Omelettes and Baked potatoes will also be available as will desserts. The bar will be open in the Gallery Restaurant and the Atlas Theatre. If you are staying on for the ZEST black – tie dinner in the evening wine can be ordered from the ZEST bar on the night.
Access to the Garden Restaurant will be via a stairway. If you are unable to climb the stairs could you please contact Richard Mayer and provision will be made for you to use the Gallery Restaurant.
Accommodation Delegates : You can arrive at Potters at any time during your first day to use the facilities, but keys to your accommodation will not be available until approx 2pm.
When you book into Potters you will be given a Potters Welcome Pack in which there will be a programme giving Potters Activity Times, Entertainment Times and Meal Times covering your visit. There will be a sticker on the front of the pack showing your restaurant allocation and table number for your meals. The exception to the standard meal times are breakfast on the Saturday morning which will start at 8:15 am ( to meet the start deadline of the Conference and so that you will have time to visit the Showcase before the Conference starts.) The ZEST Rotary Dinner on Saturday evening will start at 7pm with a Bucks – Fizz reception. For all Accommodation delegates their Rotary Conference Pack will be available on Friday at 6pm at a desk outside the Atlas Theatre. For those staying on Saturday or Saturday/ Sunday night it will be available on Saturday morning at the Atlas Theatre Conference Registration desk when you arrive for the Conference.

For those staying on Friday Night only : There will be dinner on Friday Night, a show in the Atlas Theatre, Breakfast on Saturday morning. You will then attend the Conference and depart afterwards unless you are staying on for the Rotary ZEST dinner in the evening.
For those staying on Saturday night only : Arrive Saturday morning for the Conference. Attend the Rotary Dinner in the ZEST restaurant in the evening. Late night entertainment in Terrace Bar. Breakfast and Lunch on Sunday. Depart after lunch on Sunday.
For those staying on Friday and Saturday night : Arrive on Friday. Dinner on Friday night, a show in the Atlas Theatre after dinner. Breakfast on Saturday morning and then attend the Conference. Rotary Dinner in ZEST on Saturday evening. Late night entertainment in Terrace Bar. Breakfast and Lunch on Sunday. Depart after Sunday lunch.
For those staying on Saturday and Sunday night : Arrive for Conference on Saturday morning . Rotary dinner in ZEST on Saturday evening. Live show in the Atlas Theatre after dinner. Breakfast , Lunch and Dinner on Sunday. Late night entertainment in Terrace Bar. Breakfast on Monday morning. Depart during the day.
For those attending on Friday, Saturday and Sunday night : Arrive Friday. Dinner on Friday night. Live show in the Atlas Theatre after dinner. Breakfast on Saturday morning. Attend the Conference. Rotary dinner in ZEST on Saturday evening. Late night entertainment in Terrace Bar. Breakfast , Lunch and Dinner on Sunday. Entertainment in the Atlas Theatre after dinner. Breakfast on Monday morning. Depart during the day.
General : Saturday Lunch: Day Delegates and those Accommodation Delegates staying Saturday night only will eat in the Garden Restaurant. The rest of the Accommodation delegates will eat in the Gallery Restaurant.
For partners not attending the Conference on Saturday, they will have lunch in their allocated restaurant on Saturday lunchtime, joining up with their partners.

The bar will be open in the Gallery Restaurant and the Atlas Theatre.
Rotary Showcase :
We have 14 exhibitors in the Showcase and you can visit them at the following times
Before Conference starts between 8.30 and 9.30 am
At the coffee break between 11 and 11.30 am
After lunch between 1.15 and 1.45 pm
and during the afternoon break 3 to 3.15 pm
Please do visit their stands to see the interesting and varied projects.
Drinks etc: Availability of Wine in the Restaurants: For Friday dinner this can be pre – purchased Friday afternoon outside the Garden Restaurant. Ordering Wine for the ZEST Gala Dinner can be done using a form that will be placed in all the Potters Welcome packs. Guests can pre-order wine for their tables at any time up to lunch on Saturday and pay and hand in to any bar. All other drinks can be purchased on the night from the Restaurant bars. Day visitors coming for ZEST dinner can simply order wine from the ZEST bar on the night.
Dress Code : Smart Casual for the Conference and Friday Night. Black Tie for the gentleman and evening dresses for the ladies for the Gala Dinner at ZEST on Saturday evening.
Black Tie ZEST Dinner on Saturday evening: Guests arrive in ZEST via the Black Rock entrance at 7pm for a Bucks – Fizz reception. ( non-alcoholic drinks available). The table allocations will be shown on a screen in the ZEST restaurant. For those attending as Day Conference attendees but also coming to the ZEST Gala Dinner there are no specific changing rooms to change for Black Tie. If you have friends who you know are staying at Potters please ask if you can use their room. Conference Committee members have indicated that you can use their rooms. Please ask stewards on duty during the day who to contact.
